Quick Guide: Organizing Office Storage

As a Professional Organizer, I can assure you that an efficient office storage system is one of the best investments you can make. Think of the hours you’ve spent trying to find things instead of actually working.  It’s a waste of time!

To help organize your office area, I suggest you break down the items you need into three areas:

1. Desk for daily things

What do you need at hand on a daily basis?  Depending on your job, you likely require only a few things.  For example, your computer/mouse, current files, pens, phone(s), task lamp and a notepad.  That’s probably about it.

Remove items that really aren’t required regularly, like non-daily files, a tape dispenser and scissors (unless you do use these every day).  It’s great when you access your calendar and contact information online or via your mobile phone because it can free up a lot of space. (Remember the Rolodex?)

With all the unnecessary items off your desk, feel free to personalize your space so you enjoy your workspace.  Pick out some decorative holders for your pens or immediate files, add in a framed photo or a plant.  And, of course, don’t forget a spot for your coffee cup. But don’t clutter it up!

2. Close storage for occasional items

With your files or items that you only access infrequently, find a storage space close to where you do your daily work.  Use a filing cabinet, credenza or shelving for example.

If you’re short on space, go vertical and install wall shelves or make use of space under your desk. When you need an “occasional” file, you’ll know where to look.

3. Far storage for archived or communal materials

For long-term office storage or common storage (accessible for co-workers) find space farther away that won’t interrupt your day-to-day work.

For items that don’t need to be retrieved, they can be stored out of sight (and out of mind!). If they are farther away, they won’t clutter the important materials that currently impact your business.

By dividing your storage into zones, you’ll boost your efficiency and your space will look great!
